Step-by-Step Guide

1

Ensure restaurant operations continue

Toast manages orders, payments, menu, and often employee scheduling. A trusted manager must have admin access to Toast to keep the restaurant running. Add them via Toast Web immediately.

Estimated time: Day 1

2

Check Toast Payroll

If Toast Payroll is active, it processes paychecks for restaurant staff. Verify the next payroll date and ensure it will process. This is the most time-sensitive item.

Estimated time: Day 1

3

Review Toast Capital obligations

Check for any active Toast Capital loans or advances. These are repaid automatically through sales — understand the remaining balance and terms.

Estimated time: Week 1

4

Document the hardware setup

Inventory all Toast hardware — terminals, kitchen display screens, receipt printers, card readers. Note whether they are owned or part of a Toast hardware subscription.

Estimated time: Week 1

5

Export all business data

From Toast Web, export sales reports, labor reports, menu data, and customer lists. This data is needed for tax records and for any potential sale of the restaurant.

Estimated time: Week 2

Document Now Checklist

  • Toast Web login email and password
  • Restaurant name and location(s)
  • Whether Toast Payroll is active
  • Whether Toast Capital loan is active
  • Hardware inventory (owned vs. subscription)
  • Manager names with Toast access
