Step-by-Step Guide

1

Contact the employer's HR department

Call the employer's main phone number and ask for the HR or People Operations department. Inform them of the death and ask for the designated point of contact for estate matters. Request a complete list of all benefits, compensation, and accounts associated with the employee.

Estimated time: Immediately

2

Request a full benefits inventory

Ask HR for a written summary of all active benefits: health insurance, life insurance, retirement plans, equity compensation, FSA/HSA, disability, and any other benefits. Include provider names, policy numbers, and contact information for each.

Estimated time: 1-2 weeks

3

Claim final compensation owed

Request the final paycheck, unused PTO/vacation payout, pending bonuses or commissions, and any outstanding expense reimbursements. Ask when each will be paid and to whom the payments will be made.

4

Coordinate benefits claims

Use the benefits inventory from HR to contact each provider individually and file claims. HR can often initiate claims on your behalf or provide warm introductions to plan administrators.

Estimated time: 2-4 weeks

5

Return company property and collect personal items

Arrange to return company property (laptop, phone, badge, keys) and collect the deceased's personal belongings from the workplace. Ask about any outstanding expense reimbursements or travel credits.
